Job Description

This is a 10-Month Position (follows the student calendar) in the High School Counseling Office, with the possibility of a few days during the summer months.  The hours for this position will be 7:30 am - 3:30 pm.

The Counseling Office Typist provides administrative and clerical support to the Counseling Office and works collaboratively with counseling staff, the main office, students, families, and other school stakeholders. The position requires strong organization, communication, attention to detail, confidentiality, and the ability to manage multiple responsibilities throughout the school year.

Essential Duties and Responsibilities

Guidance Office Coordination

  • Advertise and coordinate scholarship opportunities from start to finish, including organizing the scholarship process and planning the annual scholarship awards ceremony.
  • Coordinate senior-related activities and responsibilities throughout the school year.
  • Coordinate and process Certificates of Residency at the beginning of each semester.
  • Enter and maintain end-of-year student information in SchoolTool, including graduation dates and career pathways.
  • Maintain and update the school course catalog.
  • Send student transcripts upon request.
  • Schedule meetings as needed for students, families, staff, and other stakeholders.
  • Maintain office forms and records for students participating in college courses, BOCES programs, and Early College High School (ECHS).

Student Records and Academic Support

  • Assist with the preparation and distribution of progress reports and grades.
  • Enter and exit student records in coordination with the main office secretary.
  • Maintain accurate and confidential student documentation.
  • Print schedules and other student-related materials as needed.

Communication and Office Support

  • Communicate guidance and main office updates to families through ParentSquare.
  • Answer telephone calls, take accurate messages, and provide information or direct inquiries to the appropriate staff member.
  • Communicate and coordinate with students, parents/guardians, faculty, administrators, community organizations, and other stakeholders as needed.
  • Provide administrative support to the guidance team throughout the school year based on emerging needs and priorities.

School Activities and Special Programs

  • Provide administrative support for field trips.
  • Assist with college representative and military representative visits.
  • Coordinate and maintain records related to college courses, BOCES programming, and ECHS.
  • Support senior and graduation-related activities and events.

General Office Responsibilities

  • Provide coverage and support for the attendance secretary, including facilitating two 15-minute breaks and a lunch period.
  • Perform additional clerical and administrative duties as assigned and as needed to support the Counseling Office and school operations.

  • This position involves frequent interaction with students, families, staff, and community partners and requires flexibility, professionalism, confidentiality, and effective communication throughout the school year.
  • The School Counselor Office Typist is an essential member of the school support team and plays a key role in ensuring the Counseling Office operates efficiently and effectively in support of students, families, and staff.
